REDUCE NO SHOWS

with SMS Deposits for In-Salon or Over-the-Phone Appointments

In-Salon and over the phone deposits by SMS:  Are designed to assist salons in reducing no-show clients. When an appointment is booked, an automated SMS with a secure payment link is sent to your client prior to their booking, choose to send the deposit request, when the booking is made or 2, 7,14 21 or 28 days prior to their appointment. Once paid, the red deposit deposit icon icon, turns white to notify you that the payment has been made and the deposit has been applied against the client.

If a client has multiple appointments requiring multiple deposits, they can simply add them to a cart and pay for all deposits in a single transaction via the HB Online portal.

If you prefer to handle things manually, just untick the “Auto Deposit Request” option and choose “Let me decide when the appointment is made”, you will then be prompted to choose whether to request a deposit when making the booking.  A single click on the appointment gives you the choice to request or re-request a deposit at any time.

Simply set the deposit percentage or dollar amount, then select the services requiring a deposit, and you are ready to go.

We’ll take care of your online payments, HB Pay Online allows you to choose to pass on the credit card surcharge to you client or absorb the costs, the choice is yours.

The client card has been updated from “requires online deposit” to “requires a deposit” “All clients require a deposit” is the default setting. For special clients, simply untick the setting, and they will not be asked to pay a deposit

Show Settings

To enable In-salon SMS deposits:

  1. Navigate to the “Appointment Book Settings”
  2.  then “HB Pay”
  3. Tick the “In-Salon SMS Deposit Request” checkbox.
  4. Choose the “Percentage or Dollar Amount”
  5. Enable “Automatically request a deposit by SMS” or “Let me decide when an appointment is made”

IMPORTANT: Requires HB Pay online payments, ensure you have an HB Pay API key in the HB Pay screen in the appointment book setup. If not, contact our support team for assistance in setting up the online payment account.

Streamlined Editing: With Less steps. Say goodbye to the old “E to edit” function on every screen. Now, editing is as simple as a click. We’ve streamlined the process to reduce steps and improve overall efficiency.

Client Notes: We’ve made significant improvements to Client Notes (non-history) by relocating them to a dedicated full-screen page. This upgrade allows you to access and view more notes at a glance, eliminating the need for excessive scrolling.

Client SMS Messages: Now, your client SMS messages come with a character count and message count, offering added convenience.

Online Deposits Required: You now have the flexibility to set an “Online Deposits Required” option for clients, Friends or Family who don’t need to pay a deposit when booking online. By default, all clients require a deposit, ensuring secure transactions.

The New Customisable Consultation forms: Are linked to the client card, providing easy reference to the completed consultation form and the ability to read or edit the forms. Any edits to a form are recorded for your records and security.

These enhancements are designed to empower you with the tools you need to manage your clients efficiently and provide them with a personalised and streamlined experience. We believe that these improvements will contribute to the overall success and satisfaction of your business.

Consultation Forms

Our newly introduced Consultation Forms feature is designed to empower you with a tailored approach to client interactions. You can now craft custom consultation forms to meet the unique requirements of different services. For instance, a laser treatment may necessitate different questions compared to a facial service. With this new feature, you can effortlessly assign the appropriate form to each service. Even when a customer books multiple services with varying form needs, our system intelligently combines them into a single, seamless form.

To ensure compliance and clarity, we’ve incorporated terms and conditions that customers must accept before submitting the completed form.

The convenience continues with our SMS-based consultation form delivery, allowing clients to complete it from any device. You can schedule the SMS link to be sent up to 10 days prior to their appointment, with the link expiring shortly after the scheduled appointment time. The completed consultation form is then accessible within the individual client’s card, providing a comprehensive overview of their preferences.

To eliminate redundancy, consultation forms are given an expiration date. If a client has previously completed a form, they won’t be prompted to fill it out again until it has expired. Furthermore, appointments linked to a consultation form are clearly indicated, and the New “form” icon updates to display a tick once it’s been successfully completed. Clients also receive a copy of the completed form via email, ensuring transparency and record-keeping. This enhancement streamlines the entire consultation process for both you and your clients.

F10 Appointment Book

Appointment Book Redesign: Our Appointment Book has received a complete overhaul with a modern and cleaner look. The updated appointment icons are designed for easy readability while maintaining user-friendliness.

Better Navigation: We have changed the F10 functionality, making appointment management more versatile than ever before. In addition to its previous features, the F10 key now seamlessly links to our Appointment Book, allowing Sales and the Appointment Book to function independently or in perfect harmony.

Easier Bookings: Now, you can select multiple services within a single category without toggling back and forth, streamlining the booking process. We’ve also added an “X” to selected appointments for easy deletion.

Moving Appointments Made Easier: Now move multiple appointments from one day to another, even when “Hide Operator If Off” is selected.

Pre & Post Service SMS: Create an SMS linked to a service to send before and/or after your client’s appointment, ensuring your clients are well-prepared before they arrive at the salon.  Whether it’s important information about how to prepare for the service prior to arrival, a simple reminder, post-care advice, or a post-visit review request, the Pre & Post SMS ensures clients are informed and engaged

Deposits for In-Salon and Over-the-Phone Bookings: Automated In-Salon and Over Phone Deposits payment link sent by SMS sent prior to the appointment, assists with reducing No Shows.

Service Package Bookings: The Service Packages allows you to combine multiple services into a single service package, then each service is booked individually providing greater flexibility to move individual services between operators.

New Legend: We’ve introduced a legend to help you quickly decipher appointment colours.

Appointment Book Duties Overhauled: Managing appointment duties is now easier with our overhaul. A keyword search has been added and the selection screen has been extended to display more duties. The appointment book settings now includes “Duty Setup” for easy management.

View and Update Duties by Operator: Single-click on an operator’s name in the appointment book, then select “Operator Duties” to display and remove duties by an operator.

Repeat Multiple Appointments: We have added the ability to repeat multiple appointments. If a client has more than one service booked, when repeating appointments, a prompt will appear asking if you would like to repeat all appointments.

Waitlist Notes: When adding an appointment to the waitlist, you can now include a note. Alternatively, you can add or modify notes by clicking on an operator’s name.

Bolder Appointment Fonts: The appointment book now offers the option to view service and client names in a standard or bold font. Navigate to the appointment book settings, then select “Bold Fonts on Appointments.”

New Client Flag: When an appointment is booked for a new to the salon client, the appointment is automatically flagged with the word “New” at the bottom right corner.

Changing Services for Walk-in-appointments:  Walk-in-Appointments now has the ability to change the services without needing to create a new appointment. Simply click on the appointment and select “Change Service.”

Improved Calendar: The calendar now has arrows to make changing months easier.

New Online Booking Notifications: The Online Booking notification is now a fixed button and always accessible. When a new online booking is made, or an existing online appointment is changed or deleted, the word “NEW” will flash, alerting you to the update.

42 Days of Available Appointment Search: You can now search for an operators “Next Available Appointments” up to 42 days in advance, providing more flexibility for your appointment needs.

Online Branding Mastery: Online Branding Control, located in the appointment book setup is designed to put the power of customisation in your hands. With our new colour selector for the all-New Online Booking, you have the ability to align your online booking platform seamlessly with your unique brand identity and web presence.

F8 Sales

Emailing Invoices: We have added the ability to send an invoice by email. Once the payment has completed, choose from; “Print a Receipt,” “Email a Receipt,” “Both Print and Email,” or “No Receipt“.

Re-printing receipts now includes the option to email them as well.

Automated Surcharges: We have added the ability to automatically apply weekends and public holidays surcharges to “services” or “retail items” or “both services and retail items.” When activated, the surcharge will be added after “Total” is selected at the point of sale.

Revamped Sales Screen for Enhanced Efficiency: Our commitment to improving your user experience continues with a significant upgrade to our Sales Screen. We’ve taken several steps to make it more user-friendly and efficient.

Cost Price Hidden in Stock Orders: The cost price for stock orders can be hidden, by operator. We have added a password to “Display Cost Price on Order” in the password screen. When unticked the cost prices will not be displayed for the selected operator.

Export Sock Orders: Stock orders can now be exported into a CSV and emailed to suppliers.

EOFY Stock level Report:  Stocktakes levels are now automatically captured in the final days of the financial year, with the last day levels closest to or including June 30 saved as the final levels. The NEW EOFY Report can be found under the stocktake reports.

Note: The stocktake levels are saved upon exiting the software between June 28 – June 30.

Optional start and end dates ensure the promotion runs at the right times. For example, Purchase a $100 Gift Voucher and receive a $110 Gift Voucher by entering a promo code at the time of purchase. F1: Quit: The Quit function is now conveniently accessed via F1, (previously F10), making room for the F10 to be link to the appointment book, providing a quicker and more straightforward way to access the appointment book.

F10: Appointment Book: F10 is now your gateway to the Appointment Book screen. This change enhances your ability to access and manage appointments, ensuring a seamless experience when scheduling and organising bookings.

Help: Help is now conveniently located in F2 and provide you with the best possible tools and features within the F2 Menu. This adjustment ensures that you can access assistance and guidance whenever you need it, directly from the menu. The help files are undergoing a significant update and will be available soon.

  • VOIP Fields: The VOIP fields in client card have been discontinued to streamline and simplify the interface.
  • HB Touch Screen Keyboard & Android SMS: The HB Touch Screen Keyboard and Android SMS features have also been removed. While these features may be missed, their removal is part of our ongoing efforts to optimise the system for efficiency and effectiveness.
